About Our Opportunity
We are looking for a bright, energetic, and personable Event Support Assistant to join our super friendly event team.
Reporting to the Event Manager, you will play a key role in supporting a portfolio of in-house and bespoke events. This would suit somebody seeking to kick start a career within event management.
We will provide you with full training and support to thrive in your role – as long as you match this with passion, creativity and organisational skills! Your responsibilities will include:
- Event administrative duties, including post-event evaluations
- Liaising with suppliers, arranging and overseeing all event details, such as venues, audio and visual, entertainment and branding
- Liaising with delegates, sponsors, facilitators and speakers in the run up and at the event itself to ensure everything is in order
- Supporting with all aspects of event delivery, including building strong relationships with new or existing suppliers
- Make sure that the CRM, the event management system and other tech platforms are accurate and up to date
- Act as a brand ambassador by ensuring that event production follow OJ brand guidelines
- Assist with on-site checks including scouting and checking new venues
In addition, you will have the opportunity to contribute to Owen James projects which may require research, negotiation skills, creative thinking and provide new innovative ideas or materials which may be of use to the wider team.
About You:
- Confident with professional communication skills – you’ll be liaising with clients, delegates and sponsors, at all levels of seniority, in person, over the phone, via email and on social media
- Well-presented with strong social skills – acting as an Owen James brand ambassador, you'll need to be comfortable socialising in a variety of event locations
- A curious mind eager to learn new skills and develop knowledge of existing and new clients
- A genuine passion for events – either through your choice of degree or practical event management experience
- The ability to work under pressure in a fast-paced environment while remaining calm and unflappable
- A master multi-tasker and somebody that takes the initiative rather waiting to be told
- A great attention to detail to deliver exceptional work
- A creative problem solver
- In possession of strong organisational skills – with ability to adhere to and develop processes to build consistency, efficiency, and excellence throughout the business
Experience / Qualifications
- Ideally, you'll have a relevant degree but this is not essential
- A strong set of GCSEs (or equivalent) including a minimum of grade 5 in English and Maths - essential
- Some practical experience of supporting or organising events – this might be as part of your work, at uni or college or simply in a social situation - desirable
Points to Note
This is a hybrid role and you'll be required to work from our central London office alongside your team mates for three days each week.
Once a month we get together to work collaboratively with the wider OJ team at our HQ in Godalming, Surrey so you'll need to be able to travel to that location as well.
Finally, you’ll be attending events – normally mid-week and usually in London – so you’ll need to have a flexible approach to work location.
